By scheduling an appointment, paying a deposit, or engaging MedaMobil (“Company,” “we,” “us,” or “our”) for mobile collection, testing, or screening services, the client, employer, or individual donor (“Client” or “you”) expressly agrees to the terms and fee schedules outlined in this Policy.

1. Non-Refundable Booking Deposits

  • Commitment of Resources: Because MedaMobil provides mobile, on-site services requiring dedicated technician scheduling, route planning, and allocation of sterile collection kits, all booking deposits and intake reservation fees are strictly non-refundable.
  • Application to Service: Deposits are applied directly toward the total cost of the scheduled service upon completion.

2. Cancellation and Rescheduling Windows

  • 24-Hour Notice Required: Cancellations or requests to reschedule must be submitted in writing (via email to info@medamobil.com) or confirmed by phone with our dispatch office at least twenty-four (24) full hours prior to your scheduled appointment window.
  • Timely Rescheduling: If you provide more than 24 hours’ notice, your initial deposit may be transferred to one (1) rescheduled appointment date occurring within thirty (60) calendar days of the original booking.
  • Late Cancellations (<24 Hours): Any cancellation made less than twenty-four (24) hours before the scheduled appointment will result in the immediate forfeiture of the entire deposit.
  • No-Shows and On-Site Inaccessibility: An appointment is classified as a “No-Show” if:
    1. The donor or client fails to appear at the designated site within fifteen (15) minutes of the scheduled arrival window;
    2. The mobile collection technician is denied physical access to the premises, facility, or secure collection area; or
    3. The donor fails to produce valid, unexpired government-issued photo identification required to execute chain of custody.
  • Late Fee / Mobile Trip Charge: In the event of a No-Show or late cancellation occurring after a mobile technician has already been dispatched into the field, you will forfeit your deposit and will be charged an additional $25.00 Late Cancellation / Mobile Trip Fee to the payment method on file to cover vehicle mobilization, fuel, and collector time.

3. Absolute Finality of Performed Services

No refunds, chargebacks, discounts, or fee reversals will be issued once a mobile technician has arrived on site or once collection procedures have commenced.

All services are considered fully executed and final upon initiation of the service encounter. This absolute non-refundable policy applies to all offerings, including but not limited to:

  • Department of Transportation (DOT) and Non-DOT urine, oral fluid, hair follicle, breath alcohol, and blood collections;
  • Paramedical and clinical health screenings (biometrics, phlebotomy, vitals);
  • DNA collection, chain of custody processing, packaging, and shipping;
  • Rapid on-site point-of-care testing (POCT) and laboratory send-outs.

4. Non-Contingent Results & Procedural Events (No Exceptions)

MedaMobil provides professional specimen acquisition and chain of custody administration. Payment is due for the professional service, time, and collection process, not the analytical or administrative outcome. Refunds will not be issued under any of the following circumstances:

  • Test Results & Analytical Outcomes: No refund will be granted based on positive, negative, dilute, non-negative, inconclusive, canceled, or adulterated test outcomes.
  • Employment, Legal, or Agency Decisions: Adverse hiring decisions, workplace disciplinary actions, credential rejections, athletic suspensions, or court/probation dismissals resulting from test results or testing records provide no basis for a refund.
  • Donor Refusal or Inability to Provide Specimen (“Shy Bladder / Dry Mouth”): If a donor is unable or refuses to provide a sufficient specimen within the regulatory or medically defined observation window (including DOT 3-hour / 40-ounce hydration protocols), the collection is documented as an uncompleted attempt, refusal, or shy bladder event. Because technician time and equipment were fully expended, all fees remain 100% payable and non-refundable.
  • Third-Party Processing Delays: We are not liable for, nor will we issue refunds for, turn-around time extensions caused by independent reference laboratories, Medical Review Officer (MRO) verification interviews, courier transit delays, or third-party computer system downtime.

5. Chargeback and Dispute Prohibition

By booking our services, you certify that you understand our mobile dispatch structure and agreed-upon cancellation windows. You acknowledge that initiating a fraudulent or bad-faith credit card dispute/chargeback for a non-refundable deposit, late cancellation fee, or completed collection constitutes a material breach of this contract. MedaMobil reserves the right to recover all disputed funds, bank chargeback fees, collection costs, and reasonable legal expenses incurred to defeat unauthorized payment reversals.

6. Billing Errors & Administrative Discrepancy Resolution

While completed services and booking deposits are strictly non-refundable, MedaMobil will review claims concerning verified administrative or billing errors (such as duplicate credit card charges or arithmetic billing discrepancies).

  • Filing Deadline: Inquiries regarding billing discrepancies must be submitted in writing within seven (7) calendar days of the transaction date to:
    • Email: info@medamobil.com
    • Subject Line: Billing Discrepancy Review – [Client / Donor Full Name]
  • Required Documentation:
    1. Full name of individual and/or corporate entity;
    2. Transaction date and scheduled appointment date;
    3. Copy of payment receipt or invoice number;
    4. Specific statement and ledger proof of the alleged billing duplicate or error.
  • Determination: If an administrative overcharge or accidental duplicate processing is validated by our accounting office, a reimbursement will be credited to the original form of payment within seven to ten (7–10) business days. Claims submitted beyond seven (7) days of the transaction will not be reviewed.

Third-Party Retail & Supplement Purchases: All purchases of dietary supplements, vitamins, or wellness merchandise made via our third-party storefront (Fullscript) are governed exclusively by Fullscript’s return and refund guidelines. MedaMobil does not issue refunds, credits, or exchanges for products purchased through third-party platforms.
